1. Do you know why everytime I change/update shipping for order, it does send '<SPAN id=lblSubject>Shipping update for order # ' email to the admin (to me)?
2. I am loosing the credit card number once order switched to complete. I see only: 0000000000000000000...

On 1. are you the customer or drop-shipper? If not, you can see the email templates Admin> Content> EmailTemplates As well as the workflows that trigger them here Admin> Options> Workflows

On 2, I don't think it's the shipping status, but the cart cleanup that is changing the CC info. Check to see what you have it set to now, Admin> Options> Orders

Noah,

1. In any Email Templates I don't see email to admin or dropshipper when I sent order status to the customer. So, every time I am trying to send update email to the customer I am as a admin receiving the 'Shipping update for order # ' email for some reason. I don't want to get those emails.

If you look at the attached file… this is the only thing I am not sure: Run All Dropship Notifications. I don’t need to email DropShipper at any point.


2. I have: Cleanup Orders Older Than - 365 Days and Run Cleanup Every - 24 Hours. If I run the cleanup every 25 hours, does that mean that I am cleaning all customer credit cards? Should I change it 360 hours or something like that?

On 2. when did you set it to 365 days?

Michael,

Regarding the Shipping Update Email, you are considered the drop shipper if you have set yourself up as either the manufacturer or the vendor of one of the products in the order *and* the product is set to ship from the manufacturer or vendor (instead of Ship From Store). This may explain why you are receiving the update email. But even if it does not, you can remove the "Run All Dropship Notifications" workflow step from any workflow it appears in.

Regarding the credit card numbers, BV Admin > Site Settings > Orders is a little misleading. The field labeled "Cleanup Order Older Than" should really be "Cleanup Carts Older Than", and "Run Cleanup Every" should really say "Run Cart Cleanup Every". In other words, those two settings have no affect on order(credit card) cleanup.

Order Cleanup is run every 24 hours or so and it will set the credit card number to all zeros if the following criteria are met:

1. The order is at least 7 days old and not more than 37 days old.
2. The order status is Complete.
3. The payment was made with a credit card and the credit card number is not blank.

If you want to change the age criteria (default is 7 days), you will need to edit the CCSDaysOld value in the bvc_WebAppSetting table. If you want to change the frequency of the check (default is 24 hours), you will need to edit Global.asax.

Yes we are having the exact same issue. My clients are worried that the customers are not receiving the shipping update emails...

How are you sending order status update emails? I selected an order, selected Order Status Update E-Mail from the list of email templates and then clicked on the Email button. Then I stepped through the code and saw that only one email was sent and it was sent to the email address of the person that placed the order.

I am getting the shipping update emails when I ship an item but do not get them for none shipping sales. I also do not get them when I send an order status update. However I rarely send an order status update on shipped items.

What would be the right steps to ship the order and send order status update email? We might do something wrong or extra steps.... I just don't want to receive that Shipping Update email...<?xml:namespace prefix = o ns = "urn:schemas-microsoft-com:office:office" /><o:p></o:p>

Are you both the merchant and the customer in your example? For example, "Every time I choose..." is something a merchant would normally do, while "I get the 'Shipping update.." is something a customer normally gets.


I want to be sure I understand the theme of this thread.



If you are saying that the Merchant receives the Shipping Update email, but the Customer does not; then I agree that is a problem.



If you are saying that the Merchant *and* the Customer receives the Shipping Update email, then I am ambivalent whether that is a problem or not.



If you are saying that the Merchant does not received a Shipping Update email, but the Customer does; then I do not see that as a problem.

What I was saying is that the Merchant *and* the Customer receives the Shipping Update email. I don't think Merchant should receive it. In BV2004 Merchant doesn't receive an email when we email customer with the order status.

I'm getting more and more confused. I think you had better contact the support group at BV Software so that they can dig into this more deeply. Your posts here in this thread conflict with each other which makes it hard to even know where to look. For example you wrote,

The only place I know where you can choose to send an "Order Status Update Email" is on the main Order page. But then you wrote,

Which means you were using the Order Shipping page. These two pages use different code and the cause of multiple emails would be completely different (or so I think).
I suspect one of two things:
1. One of the workflows that is being run is configured to send the merchant and the customer an order status update email.
or
2. Your email server is configured to send you a copy of emails.
Regardless, I think your best bet is to contact BV Software support directly instead of using the forum.

I like getting the same emails my clients get. If he calls/emails any questions about the content... I look up my copy and see what he's received. But, if I had 30+ orders/shipments a day maybe I'd feel differently.

Before I send it to the BV support I want to make it clear:

Every time I email customer with the order status, customer gets an email with the subject ‘Status Update For Order xxx' and Merchant(myself) receiving an email with the subject ‘Shipping Update For Order xxx’.

Same problem when I insert the tracking number for the order and click SHIP ITEMS.
